Submissions for the 4th Annual Art and Olfaction Awards are now closed.

We announced the shortlisted finalists in late March, 2017 at Esxence, in Milan. We will announce the winners on May 6, 2017 at our fourth annual award ceremony, at Silent Green Kulturquartier, in Berlin. 


SUBMISSION RULES


CATEGORIES
We accept submissions in three categories:

  • INDEPENDENT AWARD: This is for perfume brands that employ an external perfumer or fragrance house to initiate and create their blends, which are then released under the brand's name. Read the qualifiers here.
  • ARTISAN AWARD: This is for perfume houses that are owned or co-owned by the brand's primary perfumer, who initiates and creates the blends in-house, then released under the brand's name. Read the qualifiers here.
  • SADAKICHI AWARD FOR EXPERIMENTAL WORK WITH SCENT: For experimental practitioners who make unconventional or non-traditional use of scent that takes it out of the domain of traditional perfumery. Read the qualifiers here.


SUBMISSION FEES
The entry fee is $65.00 per submission. 
This submission fee covers administration costs, storage costs, transportation costs, and the production of the award event, itself. 


SUBMISSION PROCESS
Each submission is made in two steps: The online submission form (accessible below), and the physical perfume. Once you submit your online form, you will receive an email with instructions about sending your physical submission to the IAO.

WHO CAN SUBMIT
We accept submissions from independent and artisan perfumers, and experimental practitioners with scent from all countries. 


SUBMISSION RELEASE DATE

Entries for the 2017 Art and Olfaction Awards in the independent and artisan categories must have first been made available for sale to the public (artisan and independent category) between the dates of Jan 1, 2016 and Dec 31, 2016.

Entries for the Sadakichi Award must have been exhibited to the public between the dates of Jan 1, 2016 and Dec 31, 2016. If the opening for the exhibition was in late 2015, we accept it as a qualifying submission as long it was continuously exhibited into 2016.

SUBMISSION QUANTITY

There is a maximum amount of 3 (three) entries in each category (artisan, independent or experimental) per perfume brand that can be submitted for the award.

REFORMULATIONS

We do not accept reformulations or re-releases of existing scents.

RESEARCH

By submitting, you have the option to share your submission data with The Scent Culture Institute (in affiliation with Bern University of Applied Sciences) for academic research purposes and for further developing our own mechanisms. 


DISQUALIFICATIONS

Submissions that do not comply with the criteria defined herein shall be deemed as void and disqualified at the Institute for Art and Olfaction’s sole discretion.
 

ADDITIONAL CONDITIONS OF PARTICIPATION


By participating in the Contest, entrants agree to be bound by these Official Rules including all eligibility requirements and IAO's decisions, which are final and binding in all matters related to this Contest. 


AGREEMENT TO RULES
Entrants agree to abide by the terms of these Official Rules and the decisions of the judges which are final and waive any right to claim ambiguity in these Official Rules.

RELEASE
By acceptance as an entrant in the Contest and/or receipt of any prize, each entrant and/or winner agrees to release and hold harmless IAO, and it’s respective, affiliates, and each of their respective parent companies and each such company’s officers, directors, members, advisors, partners, employees and agents (collectively, the “Released Parties”) from and against any claim, demands, debts, damages, actions or cause of action of any nature or kind (including attorney’s fees) arising out of entrants’ participation in the Contest.

PUBLICITY
Except where prohibited, participation in the Contest constitutes winner’s and finalists' consent to IAO’s and its agents’ use of winner’s name, likeness, photograph, voice, opinions and/or hometown and state or country for promotional purposes in any media, worldwide, without further payment or consideration. Further, neither entrant nor any person or entity acting of behalf of entrant will issue any derogatory comments about IAO in any medium in connection with the Contest. Any breach of this provision will entitle the IAO to seek damages from any such person to the fullest extent permitted by law.

GENERAL CONDITIONS
IAO reserves the right to cancel, suspend and/or modify the Contest, or any part of it, if any fraud, technical failures or any other factor beyond IAO’s reasonable control impairs the integrity or proper functioning of the Contest, as determined by IAO in its sole discretion. IAO reserves the right, in its sole discretion, to disqualify any individual it finds to be tampering with the entry process or the operation of the Contest or to be acting in violation of these Official Rules or the Rules for submission listed above, or in an unsportsmanlike or disruptive manner. Any Entrant who has been disqualified from an IAO Contest may be rejected by IAO as an Entrant in any future Contest, such decision shall rest solely with IAO. Any attempt by any person to deliberately undermine the legitimate operation of the IAO and/or the Contest may be a violation of criminal and/or civil law, and, should such an attempt be made, IAO reserves the right to seek appropriate remedies from any such person to the fullest extent permitted by law. IAO’s failure to enforce any term of these Official Rules shall not constitute a waiver of that provision. These Rules may be modified at any time by an amendment by IAO and notification shall be by publishing such modified Rules on-line on the IAO website.

LIMITATIONS OF LIABILITY
The Released Parties are not responsible for: (1) any incorrect or inaccurate information, whether caused by entrants, printing errors or by any of the equipment or programming associated with or utilized in the Contest; (2) technical failures of any kind, including, but not limited to malfunctions, interruptions, or disconnections in phone lines or network hardware or software; (3) unauthorized human intervention in any part of the entry process or the Contest; (4) technical or human error which may occur in the administration of the Contest or the processing of entries; (5) late, lost, undeliverable, damaged or stolen mail; or (6) or any injury or damage to entrant which may be caused, directly or indirectly, in whole or in part, from entrant’s participation in the Contest. If for any reason an entrant’s entry is confirmed to have been erroneously deleted, lost, or otherwise destroyed or corrupted, entrant’s sole remedy is entry in the next Contest. No more than the stated number of prizes will be awarded annually.

INDEMNITY
All entrants hereby indemnify, defend and hold the Released Parties harmless against any and all actions, causes of action, in law, equity or otherwise, and any loss, damage, cost or expense suffered by the Released Parties, in relation to: (1) any breach of these Official Rules by entrant; (2) any threat, claim, actions, causes of action, demands or proceeding by a 3rd party that the entrant’s Submission infringes, or may infringe, the rights, including intellectual property rights, of a 3rd party; or (3) their participation in the Contest, or the announcement and/or determination of finalists, winners or receipt of any prizes.

DISPUTES
Except where prohibited, entrant agrees that: (1) any and all disputes, claims and causes of action arising out of or connected with this Contest or any prize awarded shall be resolved individually, without resort to any form of class action, and exclusively by the appropriate California State Court located in Los Angeles County, California; (2) any and all claims, judgments and awards shall be limited to actual out-of-pocket costs incurred, including costs associated with entering this Contest, but in no event attorneys’ fees; and (3) under no circumstances will entrant be permitted to obtain awards for, and entrant hereby waives all rights to claim, indirect, punitive, incidental and consequential damages and any other damages, other than for actual out-of-pocket expenses of entry into the Contest, and any and all rights to have damages multiplied or otherwise increased. All issues and questions concerning the construction, validity, interpretation and enforceability of these Official Rules, or the rights and obligations of the entrant and IAO in connection with the Contest, shall be governed by, and construed in accordance with, the laws of the State of California without giving effect to any choice of law or conflict of law rules (whether of the State of California or any other jurisdiction), which would cause the application of the laws of any jurisdiction other than the State of California.
